Your money, your priorities

See what the numbers mean.

Go to your payment tracker ↓
Use your own supplier estimates. This calculator separates per-guest spending, fixed costs and a reserve; it does not estimate local wedding prices.

Illustrative starting values. Include applicable tax, service charges and delivery in your cost inputs. Reserve applies to the subtotal and is separate from supplier payments.

Your scenario

Total including reserve

—

Remaining is total minus paid. A negative amount means recorded payments exceed this scenario; check the inputs. Headroom is limit minus total.

Keep the actual commitments together

Itemized budget & payment tracker

Record estimates, written quotes and committed costs separately. A per-person line changes with the guest count below; fixed lines stay fixed. Include taxes and charges in each line or add them as separate items.

This tracker stays in this browser. It does not send payments or reminders. Export a copy before changing device or clearing browser data. Keep private bank details out of notes.

Use one currency for every line. Changing the label does not convert amounts.

Add a cost or payment

For per-person items, line total = amount × the guest count above. Enter a known zero explicitly; a missing quote is not zero. Model minimum spends or stepped charges as separate fixed lines or explain the adjustment in notes.

Choose “Committed / booked” when recording a payment. Paid is the full amount already paid toward the line, including deposits. If payments exceed a revised line total, the difference is shown for review as a possible credit.

Costs and payments

What belongs in each number?

Per guest: meals, drinks, place settings and other costs that actually vary per person. Fixed: venue hire, photography, outfits, stationery design, transport minimums and other contracted flat charges. Move minimum-spend packages into fixed costs until the supplier explains how their price changes.

Try the same scenario with ten fewer guests, then with a simpler fixed-cost plan. Keep the choice that preserves your priorities. Work through the full budget guide and compare the actual quotes.
