Three wedding budgets you can change and compare

The same guest count can produce very different budgets because the setting changes the work. Compare the complete event, including service and setup, before deciding that one venue is cheaper. The examples below use fictional budget units. They are arithmetic exercises, not market prices, quotes or recommended spending.

A small private dining celebration

Assume 24 guests, a room charge of 500, food/drink at 60 per person, ceremony-related spending of 350, photography of 700, attire of 450, flowers/paper of 180 and transport of 120. The base is 500 + 1,440 + 350 + 700 + 450 + 180 + 120 = 3,740. A separately chosen reserve of 374 gives a planning total of 4,114.

This plan buys time around a meal and keeps decor modest. It does not include a band, late-night party or hosted overnight accommodation. Ask whether the food line includes service, room furniture, tableware and all mandatory charges. If a minimum spend applies, use the actual minimum when it exceeds the per-person sum.

A staffed venue with dinner and dancing

Assume 60 guests, venue/furniture 1,500, meal/drinks/service at 75 per guest, photography 1,200, music 650, attire 600, flowers/paper 400, ceremony 350 and transport 300. The base is 9,500; a chosen 950 reserve gives 10,450.

Compared with the smaller meal, this adds event length, entertainment and more service. It can also provide a clearer division of labor. Do not assume the venue coordinator manages your personal suppliers or returns. If the group drops to 50 and every other assumption holds, the meal line falls by 750; the photographer and room do not automatically become cheaper.

A blank space that needs a complete team

Assume 60 guests, space 700, food at 50 per guest, service staff 900, furniture/tableware 850, approved production/weather arrangements 1,200, toilets/waste 400, coordination 600, photography 1,200, music 650, attire 600, flowers/paper 400, ceremony 350 and transport 300. The base is 11,150; a chosen 1,115 reserve gives 12,265.

The low room charge does not make this the lowest total. You may still prefer it for personal meaning or design freedom. Get qualified suppliers to determine what the site needs; these invented lines are not specifications or installation instructions. Some real sites need more or less, and an unsuitable property may not be feasible at all.

The reserve is your planning decision, not a fee to a supplier. It should remain visible and available. Increasing it does not fix missing line items; identify expected expenses before applying a buffer.

Use a change test before cutting

Try three changes in turn. First reduce attendance, adjusting only genuinely per-person costs and checking minimums. Next simplify the format: a shorter daytime meal may remove evening entertainment and late service, while reducing flowers alone leaves most operations unchanged. Finally compare dates or suppliers on identical scope. A discount attached to additional accommodation nights may move cost to guests rather than save it.

Separate optional gratuities from contractually stated service charges and taxes; do not assume they mean the same thing in every place. Include supplier travel, delivery, meals, fitting, stationery postage and cleanup wherever they apply. Keep honeymoon and related-party budgets visible even if someone else hosts them.
