A useful shared plan gives the next person a specific question. “Do you like these?” can produce more pictures without resolving a choice. Instead, state the decision, what is fixed, what can change and when an answer is needed. Start with your wedding-style brief and choose the references that do different jobs.

Give each picture a job

Choose one main atmosphere, then use supporting references for specific details. A flower picture can explain shape while a table picture explains spacing; neither has to dictate every color. Write what to borrow and what to change beside each reference. These are original styling concepts, not documentary photographs, identified products or quotes.

Main atmosphereKeep the pale background and sociable meal; avoid adding more decorative locations. Can our actual room support the meal and seating?
Supporting bouquetKeep a modest loose outline; varieties may change within the agreed palette.Ask the florist for actual materials and a substitution process.
Supporting paperKeep the clear information hierarchy; replace all fictional wording.Confirm the real invitation groups, response route and proof.

Choose the right handoff file

FileBest useWhat it contains
Photo PDF or text briefA conversation with a supplier or someone helping you chooseYour current preferences, original references and notes. These are fixed exports.
Offline review copy (HTML)A complete visual copy someone can read without an account or internet connectionEmbedded original images and the brief. Selected-supplier scope or run-sheet moments appear only if you choose those sections.
Editable brief (JSON)Continue the photo brief on another device or combine another person’s suggested choicesOnly the photo-brief preferences, stable idea IDs and reference notes. Import first shows individual choices.
Full plan backup (JSON)Keep a private recovery copy or move the entire planAll planner sections and the payment ledger. Treat this as a private archive, not an ordinary review attachment.

Find the focused files under Review together. Guest lists, supplier contact fields and payment ledgers are not automatically included in the review copy. Your own notes and optional run sheet can still contain personal details: read the exported file before sharing it through your chosen channel. This site does not send messages or create shared accounts.

Review a returned brief before combining it

  1. Keep one current owner

Agree who holds the current working version. Export a dated editable brief for the other person to review. Use your own device and sharing method; the site does not upload the file.

  2. Preview incoming choices

On the destination device, open the style brief and choose the incoming brief JSON. Compare the current and incoming text. New references and empty preferences are selected initially; a conflicting preference or existing note stays unselected.

  3. Select the actual changes

Keep both references if they answer different questions. Select an incoming note only if it should replace the current note; otherwise leave it unchecked and discuss the difference. A blank incoming value never clears a current one.

  4. Apply, check and export the next version

Apply the selected changes and read the resulting preferences and notes. Immediate Undo restores the previous brief until you make another brief edit. Your saved boards, notebook and other planner sections are not replaced. Create a new review copy or PDF for the next handoff.

There is no automatic synchronization or simultaneous editing. A file can become out of date as soon as someone changes their copy. If the draft changes while an import preview is open, the tool refreshes the preview and requires another review before applying. To move every planning section, use the separate full backup and restore controls; those replace the whole destination plan and should be used deliberately.

Try the plan against an ordinary change

Use a small practical rehearsal before asking someone to approve the look. The garden-lunch concept is a worked example: 48 diners, eight tables of six, three proposed serving platters per table. This checks a relationship, not portions or safe table dimensions. If the confirmed count changes to 54, nine tables of six would mean 27 proposed serving vessels per course. The venue and caterer must confirm the actual layout, service and portions; a photo cannot establish them. Change the count once in the agreed record and tell each affected owner.

Next, assume the meal moves indoors. Ask who approves the layout, receives the food, updates the run sheet and tells the guests. If every answer is “the couple,” distribute those jobs before the day. Read the complete garden lunch, restaurant evening or picnic concept to test another set of assumptions.

Test whether the site helps a real person

Technical tests establish that controls work; they do not prove a wedding is deliverable or that the site is easier than another service. Ask a consenting participant to browse, narrow a search, preview and save two suitable choices, compare them, make a brief and download the right file. Let them work without coaching. Record task completion, time, wrong turns, unclear wording and whether their notes survive a reload.

Download the practical review and usability script. It includes task wording, a simple observation sheet and a distinction between application defects, planning unknowns and preference differences. Use a fresh synthetic plan so someone does not need to disclose real guest information. A head-to-head claim would require the same tasks and consenting participants on the comparison service; that research has not been conducted here.

What still needs real confirmation

A professional must review the actual decisions within their remit. Supplier availability and quotes need current written answers. Firsthand real-wedding features need original documentary images, permission and verified details from the event. These are separate from original concept guidance and cannot be created by passing a checklist. Read our editorial standards and how local saving and exports work.
