Turn wedding inspiration into a usable supplier brief

Separate the visual effect, actual quantities, site constraints and responsibilities so a saved picture becomes a request a supplier can answer.

A saved image communicates an effect; a useful brief explains which parts matter and what must happen in your actual setting. Start with one main reference and a small number of supporting details. Explain the role of each so a supplier does not have to guess which photograph wins.

Write four decisions beside the picture

DecisionA useful statementWhat remains to confirm
KeepThe low, irregular flower outline and a pale tableActual flower recipe and final proportions
ChangeUse our existing round tables instead of the pictured long tableA measured complete place-setting and serving layout
CountEight guest tables plus a separate welcome tableFinal guest seating and exact quantities per location
OwnFlorist installs; venue approves; named host receives deliveryAccess window, contacts, collection and change procedure

A useful adaptation preserves a relationship rather than copying every object. Say whether shape, color, texture, atmosphere or guest experience comes first. Ask for an alternative that keeps that priority while reducing the number of materials, installation locations or service transitions.

Separate the picture from the quote

The picture does not establish a price, inventory, dimensions, safe installation, access or local availability. State what you know and label what is still to be confirmed. Do not describe a concept as an identified product or actual supplier package. Ask the relevant venue and supplier to assess the real materials and site.

Illustrative table brief: eight tables × three small vases = 24 table vases; two separate ceremony pieces make 26 vessels if each uses one vessel. This is a vessel count, not a stem order or labor estimate. If ceremony pieces will move, specify who moves them, when, how, where and what happens if the move cannot occur. Counting them twice in the design and once in the order is only valid after that plan is agreed.

Compare the same scope

Line to confirmQuote AQuote B
Design and quantitiesExact locations and item countSame locations and count, or a clearly stated alternative
Equipment and laborVessels, support, delivery, setup and collectionThe same included services or explicit extra lines
Dates and dependenciesAccess, final decisions, payment and handoverThe same milestones, with differences visible
UnknownsWritten questions and an ownerWritten questions and an owner

A lower total is only comparable when the included work is clear. Record confirmed monetary totals and the actual fee basis in Compare quotes. That tool does not know whether a missing delivery line is free. Keep the selected supplier’s next action and contact in Supplier shortlist; record payment obligations in Budget & payments.

Make the handoff usable on the day

  1. Agree the actual scope

Approve the supplier’s final description, quantities and service limits. Keep the reference and written explanation together.

  2. Record one current version

Date the agreed brief and identify who can approve a change. A personal draft and an accepted supplier document are different stages.

  3. Assign the transition

Name the receiver, the next owner and the timing cue for each delivery or move. Add those cues to the run sheet.

  4. Prepare the simpler fallback

State what can be omitted or substituted while preserving your priority, and who makes that call. A weather, safety or access change belongs with the venue and relevant professionals.

Your photo brief saves main/supporting references and notes locally. Use the review and handoff guide to share a focused copy or combine a returned brief without replacing the whole plan. Export a PDF or text copy when ready to share it through your own chosen channel. This site does not send a quote request or book a supplier.
