For a reply card, keep the fields tied to named invitees: “Names attending __; unable to attend __; meal choice for each attendee __; contact us privately about other arrangements.” Give a direct reply route even when a website is available. Use your household and event records to check the wording against the actual invitation list.
Choose the information before the paper. A complete invitation journey tells a guest who is included, which events they may attend, when and where to arrive, how to reply and where to ask a private question. You can achieve that with a printed suite, a digital message or a combination.

Choose the format around your guests

Do not rely on a QR code alone. Someone may not have a suitable device or may prefer a telephone reply. Ask a person outside the planning team to follow the entire journey.

Reply fields: named guest; attending/declining for each invited event; meal choice if the caterer requires it; a private contact route for dietary/access requests; name of a specifically offered additional guest. Keep song requests optional and separate from essential meal information.
A split ceremony and reception example
Together with their families, Amira and Jamie invite you to their wedding.

Please reply by [date] using [method].
If someone is invited only to the evening: “Please join us for our wedding celebration from [time] at [place]. [Dinner/light refreshments] will be served.” Do not print the ceremony details on that person's invitation as if they are included. Explain any gap between events and whether anything is hosted during it.
Hosting lines without family assumptions
A direct invitation from the couple needs no explanation of who paid. “Together with their families” can acknowledge several households without ranking them. If named parents wish to host, put each name in the form they use and ask them to approve it. Separated parents can appear on separate lines; a stepparent can be included by agreement. An absent or deceased person's remembrance can sit in a separate personal line rather than implying they are a current host.
For chosen family or a couple who prefer no family line: “With the people we love, we invite you to celebrate…” The wording should reflect your actual relationships, not conceal a difficult history for the sake of a formula.
Address households without losing individuals
- Two named adults: use both preferred names; do not assume a shared surname or title.
- Named children included: name them on the invitation or enclosed guest list.
- An offered plus-one: name the primary guest and explicitly state one additional guest; replace that placeholder when confirmed.
- One household, different events: make each person's event invitation clear rather than treating the postal address as attendance.
Order invitation quantities by sending household, then add your chosen spare/keepsake allowance. Order meals by confirmed people. The numbers solve different jobs.
Proof the suite as one system
Check date/year, local time, venue entrances, names, RSVP deadline and delivery route across every piece. For multilingual communication, have a fluent person review meaning, names and date conventions; place equivalent information together rather than burying one language. Confirm printer proofs, quantities, envelopes, addressing and delivery before approval.
Use the household and event records to keep invite scope consistent. Add the website FAQ for travel and questions; use the additional original wording for reminders, boundaries and changes.
